1. Who we are & what this covers

First Quality Financial Group, Inc. (“FQFG”, “we”, “us”) provides bookkeeping and accounting services and operates the CheckMatch platform. This Privacy Policy explains what personal and financial information we collect through CheckMatch and in providing our services, how we use and share it, and the choices and rights you have. It applies to our clients and to people who use CheckMatch.

2. Information we collect

Information you give us

  • Identity and contact details, such as your name, business name, email address, and phone number.
  • Account information you create to use CheckMatch.
  • Financial and accounting records you provide for bookkeeping, accounting, payroll, or tax services, which may include Social Security numbers and other tax information.

Information from your connected financial accounts (via Plaid)

When you choose to connect a bank or financial account to CheckMatch, you do so through Plaid Inc. (“Plaid”). Plaid securely collects information from the financial institution you select — such as account and transaction details — and provides it to us to power the service you requested. We describe Plaid’s role in Section 6.

Information we collect automatically

When you use CheckMatch, we may collect limited technical information such as log data and device or usage information.

3. How we use your information

We use your information to:

  • Provide bookkeeping, accounting, payroll, and tax services and operate the CheckMatch platform.
  • Reconcile transactions and maintain your financial records.
  • Communicate with you about your account and our services.
  • Maintain the security of, and prevent fraud or misuse of, our systems.
  • Comply with our legal, tax, and regulatory obligations.
We collect and keep only the information needed to provide the services you have requested, and we do not sell your personal information.

4. How we share your information

We share your information only as needed to provide our services and as described here:

  • Service providers that help us operate CheckMatch — including Plaid (financial-account connections), and our hosting and infrastructure providers — under agreements that require them to protect your information.
  • With your direction or consent — for example, where you ask us to share records with a third party.
  • Legal and regulatory — where required by law, regulation, or valid legal process, or to protect our rights and the safety of others.
  • Business transfers — in connection with a merger, acquisition, or similar transaction, subject to this Policy.

5. How long we keep your information

We keep your information for as long as needed to provide our services and to meet our legal and regulatory obligations, in line with our Data Retention & Disposal Policy. When information is no longer required, we dispose of it securely. If you disconnect a financial account, see Section 6 for how that affects data obtained through Plaid.

6. Plaid & your financial data

CheckMatch uses Plaid to connect to your financial accounts. When you connect an account, you authorise Plaid to collect financial information from your chosen institution and share it with us to provide the service you requested. Plaid’s handling of your information is governed by Plaid’s own End User Privacy Policy.

  • Plaid’s privacy policy is available at https://plaid.com/legal/ — please review it to understand how Plaid collects, uses, and shares your data.
  • You can review and manage the data you have shared through Plaid, and revoke access, using Plaid Portal or by disconnecting the account in CheckMatch.
  • If you disconnect a connection, Plaid’s systems are designed to automatically delete your data, subject to limited exceptions described in Plaid’s policy, and we will stop receiving new data from that account.
  • You may need to re-authorise a connection periodically (generally every 12 months) to keep using it.

7. Tax information

Where we prepare or handle tax-return information, U.S. law (including Internal Revenue Code § 7216) limits how we may use and disclose that information. We use and disclose your tax-return information only to provide the services you have engaged us for and as permitted by law, and we obtain your written consent where the law requires it before using or disclosing tax-return information for other purposes.

8. How we protect your information

We maintain a written information security program and apply administrative, technical, and physical safeguards designed to protect your information, including encryption of sensitive data in transit and at rest, multi-factor authentication for system access, access on a least-privilege basis, and monitoring. No method of transmission or storage is completely secure, but we work to protect your information consistent with our obligations under the FTC Safeguards Rule and applicable law.

9. Your rights & choices

Depending on where you live and applicable law, you may have rights to:

  • Access the personal information we hold about you, or ask us to correct it.
  • Ask us to delete your personal information, subject to information we must retain by law (such as tax records within their retention period).
  • Withdraw consent you have given, and disconnect financial accounts at any time.

10. Children’s privacy

CheckMatch is intended for businesses and adults. It is not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us so we can address it.

11. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new “last updated” date and, where appropriate, notify you. Your continued use of CheckMatch after an update means you accept the revised Policy.
